At the very least, we can open a special topic and have a chat with the posting method that we are already using. i.e. This becomes a chat topic where you post as usual and 'chat' with Karthik. Since you all have accounts already, no more registration process needed to join the chat. I can also make this a private topic so that only a selected people are allowed to participate. You can decide who you want to me allow. This is a simple straight forward method.
We can also go for a real time chat (similar to YM), but I'm not sure whether you'll proxy troubles.
Or you can tell me your preferences and we can see whether they can be worked out.
